Tenant Billing Application Requirements:

bullet

Install on any PC that is connected to the same Ethernet network as the NAE(s) or ADS.

bullet

Have Microsoft Excel installed on this PC.

bullet

Operating System - Win98, WinME, Win2000 or WinNT. 

Tenant Billing Application Features:

bulletAssign any number of meters to a tenant.
bulletA meter can be split between tenants.
bulletSelect a date range and generate invoices for all tenants or a selected tenant with the press of a button.
bulletAn Invoice Number is generated for every invoice.  The file name will be the invoicenumber.xls.
bulletTenant info has a list of the invoice numbers generated for each tenant.  Double-clicking on the invoice number opens the invoice.
bulletYou can view and print the Data Details for any tenant, any date range, anytime.
bulletKeeps the data collected in Access 2000 database format and automatically archives the data by Year-Month naming scheme. (April 2006 data would be found in the file TD06-04.mdb)

Report Tab

Select the Start Date and End Date of the billing period and click on Invoice.  An invoice is generated and printed for each Tenant.  The application uses the data that was collected from the associated meters for a tenant.  When you add a meter to a tenant, you specify what the energy units are.  The Cost Per Unit is entered on the Setup Tab.

Below show generating an invoice for a selected tenant.

When invoicing a selected tenant you have the the addition options to Keep Excel open and Do not print.  The do exactly what they say.

Below is an example of the standard Excel Output.

Note - This invoice can be modified any way you like.  The Master file name is TenantBillingMaster.xls and is found in the "C:\Program Files\Tenant Billing" directory. Any changes you make to the master file will apply to all invoices generated.  The cells with the red note flag are named cells.  The note tells you the name.  You can position the named cells anywhere on the sheet you like.  You can also add any text or graphics you like.  You can Bold or Underline, Size and position anything - anywhere.  Just be sure to include all the named cells in your master sheet.  I recommend leaving the details at the bottom of the invoice because the number of meters per tenant is variable.  

The name of the invoice file is invoicenumber.xls (below it is 12.xls) and is found in the "C:\Program Files\Tenant Billing\Invoices" directory.

Details Tab

 

Click on a Tenant Name and you will see a list of the meters assigned to the Tenant in the Meters list.  You will also see a summary of the totals and the details for each meter for the date range selected on the Report Tab.

If the All Details option is selected, all of the collected data used in determining the bill is listed.

Clicking on the To Notepad allows you to print the details.

 

If the Summary option is selected, the data details are not displayed.

Clicking the To Notepad button with the Summary option selected gives the following -

 

Click on one of the meters to display the details for that meter only for the selected date range.

Tenant Info Tab

Click on a Tenant Name to display the info for that Tenant.

To add a new Tenant, click on the Add New button and fill in the information.  When finished click the Save button and the new Tenant will show up in the list.

You can modify any Tenant info by selecting the Tenant, then click the Modify button.  When finished click the Save button.

You can delete any Tenant by selecting the Tenant and clicking the Delete button.  You will get a warning message before the Tenant is deleted where you can cancel the delete.

Double-clicking on any Invoice number will open the file in Excel.

Tenant Meters Tab

This is where you configure the meters the Tenant is responsible for.  Selecting a Tenant shows all meters currently assigned to the Tenant.  

To delete a meter from a Tenant - Select the Tenant, select the meter and click the Delete Meter button.

To add a meter to a Tenant - Select the Tenant and click the Add Meter button.  The Add Meters frame will appear as shown below.  Double-Click to penetrate to the Item Reference of the meter.  Define the Meter Description, Energy Units and % Allocation, then click the Add Meter button.  Note - The Energy Units are defined on the Setup Tab.  This is also where the Cost Per Unit is defined.  The Cancel button will return you to the previous window.

Setup Tab

 

Owner Setup

This is the information used for the invoicing.

The application database files are Microsoft Access databases and are found in the "C:\Program Files\Tenant Billing\Data" directory.  The files are named using the year-month of the data.  Example the data for April 2006 is found in the file 2006-04.mdb.

Next Invoice Number - Displays the next invoice number that will be used when generating invoices.  If you enter an Invoice number that has already been used, you will be ask if you want to delete the current invoice.  If you say yes, the current invoice number is deleted.

Data Collection Interval In Minutes - Determines the interval that the data is collected.

Start application in the System Tray check box causes the application to be loaded directly into the System Tray if checked.  If it is not checked, the application window will display on startup.

NAE Connection Information

The Site Director, User Name and Password must be entered so the application can log in to get the data.  The Test Login button allows you to verify proper connection.  You will be notified if the login was successful or failed.

Energy Charges

This is where you specify the type of Energy Units and their cost.  You can modify the cost any time by simply changing it.  It is automatically saved.

Setup Instructions

Before you install the application -
A. You must have Excel installed of this PC.
B. This PC must be connected to the same Ethernet network as the Site Director or NAE.
C. Metasys Secure Data Access DLL must be installed. This is found on the SCT installation disk under the SCT\ MSSDA directory. Run Setup.
D. dotNet Framework must be installed. This is found on the SCT installation disk under the OEM\Microsoft\dotNet Framework directory. Run dotnet_v1.1.

You may now install the application. Run the self-extracting zip file NAE-TenantBillingInstall.exe. This will extract three files to your specified location. Run Setup.exe.

Start the Application

1. Enter the Site Director, User Name and Password.  Click the Test Login button.  If the login succeeded, proceed.
2. Go to the Energy Units frame and click the Add New button. Enter a short name for the energy units then enter the Cost Per Unit.
3. Go to the Tenant Info tab and click on the Add new button.  Enter the Tenant information and click the Save button.
4. Add additional Tenants in the same way.
5. Go to the Tenant Meters tab and select the tenant you want to add meters to.
6. Click on the Add Meter button.
7. Double-Click to penetrate to the Item Reference of the meter.
8. Enter the Meter Description, select the Energy Units and Allocation if other than 100%.
9. Repeat 6 thru 8 for all meters belonging to the selected tenant.
10. Repeat 5 thru 9 for each Tenant.
11. The application will now start collecting data.

Note -  Place a shortcut to this application in the Startup group so if the PC is rebooted, it will automatically start.
